1. Log in to Edexcel Online and hover your mouse over 'Learner Work Transfer' and then click on 'Examination/Moderation' from the menu on the left side of the page:
2. Click on the 'To Do' option, then select the 'Examination' tab (near the top of the page) to see Examination requests:
3. This is the Learner Work Transfer Examination dashboard. Using the search tool, you can narrow down the requests as required. The search will work across all the data shown in the list of requests:
4. Click on the 3 vertical dots located on the right of the request and then click on 'View Learners' to open the request:
You will be presented with a list of all learners entered for the unit:
If you have additional learners who have not yet been entered, you should make these entries by following the usual process (please see: Pearson English International Certificate (PEIC / PEIC YL): Registering Test Takers for additional guidance). The request should be updated within 3 working days.
If you have started uploading evidence when new entries have been added, the request will show a status of 'In Progress (C)' to denote a change:
5. To upload learner evidence for assessment, there are a couple of different options to show. First, you can click on 'Browse' under a learner:
This will open the file explorer on the machine. You can select an individual file by clicking on it, or you can select multiple files for a given learner by pressing the 'Ctrl' key on your keyboard to select multiple files for a given learner then click 'Open':
6. Alternatively, you can drag and drop files from your machine directly into the grey area on the page below the given learner:
Files uploaded will display the 'Uploaded' state:
During the 'Upload' state, the files are virus checked. Also, the system is checking that the files are not password protected and are in an accepted file format - (please see: Learner Work Transfer (LWT): Supported File Formats for additional guidance).
You do not need to wait until these checks are completed to submit the request. However, if you need to exit the request at this point, these checks will continue in the background.
If you choose to submit the request before the file checks are complete, you should check back the following day to confirm the request has been successfully submitted or not.
If the checks are successful, the status will show as 'Accepted':
7. If the checks are unsuccessful, the status will show as 'Rejected'; you can hover over the warning icon to show the reason for rejection:
Click on the 'X' next to the filename to remove the rejected file for the learner:
You can continue uploading files to individual learners using the Browse or drag-and-drop options.
Please note: If you have incorrectly added a file to a learner, you can click on the 'X' next to the filename to remove the file.
8. Shared Files
You may wish to upload group projects or performances using this method.
To upload a file and assign it to multiple learners, you must drag and drop the file or use the 'Browse' option in the 'Shared Files' area. :
This will open the file explorer on the machine. You can select an individual file by clicking on it, or you can select multiple files by pressing the 'Ctrl' key on your keyboard to select multiple files, then click 'Open':
9. Once the file shows as 'Accepted', you will then be able to link the learners to it. Click on the 3 vertical dots on the right of the shared files area and select 'Manage shared files':
10. Open the drop-down and select the file to see a list of available learners:
11. Use the checkboxes on the left to select all learners or select specific learners:
12. Once you have selected all the relevant learners, click the 'Save' button:
A confirmation will be shown at the top of the page:
13. Click on 'Back to View Learners' at the top or bottom of the page to return to the request:
14. The 'shared file' icon next to the filename indicates that this file is associated with multiple learners. Clicking on this icon will display a pop-up list of those learners that have been associated to that file:
Any work uploaded or changes to status are automatically saved, so you can log out at any time and return to a request later.
Please note: If you have incorrectly added a shared file, you will first need to unlink the learners through 'Manage Shared Files', then remove the file from the 'Shared Files' area (Please see Step 9 for how to access this area).

15. Returning to a request / Returned requests
If the examiner finds that the wrong material has been uploaded, they can return the ‘request’ to the centre. You should receive an email from the examiner or Pearson to explain the required action.
If your centre identifies they have uploaded and submitted the wrong material, they will need to contact the examiner or Pearson and ask for the ‘request’ to be returned.
Once the 'request' is returned by the examiner, it will show in the 'In Progress' tab of the Learner Work Transfer dashboard with a status of 'Returned'. You can then add and remove files as requested before resubmitting the ‘request’ to the examiner for marking.
If you need to return to a request you have started working on, it will now be displayed in the 'In Progress' tab.
If you see that the status shows 'Returned' with a red warning triangle, this means it has been returned to you by the examiner:
Click on the 3 vertical dots on the right of the request and then 'View Learners' to access the request:

16. Absent Learners
Any learners who were absent for the assessment should have their status changed to 'Absent' using the 'Status' dropdown. This will take the place of completing an attendance register:

17. Unavailable evidence (special consideration)
If a learner's work is unavailable for assessment (e.g. where special consideration is being applied for), then the 'Status' for that learner should be changed to 'No Evidence'.
Any application for Special Consideration should follow the normal process (Please see: Pearson English International Certificate (PEIC): Special Consideration):
Once the status is changed to 'Absent' or 'No Evidence', the option to upload work is hidden.
Please note: If you have incorrectly added a file to a learner, you can click on the 'X' next to the filename to remove the file:
If you need to remove a file uploaded through the Shared Files function, you will first need to unlink the learners through 'Manage Shared Files', then remove the file from the Shared Files area:
You can use the filter views next to the search bar to refine by which learners are marked as present but do not yet have a file uploaded for them.
You should ensure that every learner marked as 'Present' has at least one file uploaded on the request.

18. Administration Material
If required, you can upload non-assessment materials such as seating charts to the 'Administration Material' section by using the browse or drag and drop options:
Please note: You should only upload documents required for the course at the cohort level to this section, not learner work.

19. Submitting Requests
You should ensure that every learner marked as 'Present' has at least one file uploaded on the request.
Once you have either at least one file uploaded per learner or 'Absent' or 'No Evidence' indicated for all learners, the 'Submit Request' option will become available. This can be found at the top of the page and from the 'In Progress'' dashboard:
Please note: Submitting the request will send it to your assessor, meaning you can no longer add or remove evidence.
If you try to submit the request before the request is in a state that can be submitted, you will get a 'cannot submit' message.
20. A confirmation will appear on the screen when you click on 'Submit Request'. Then, click 'OK' to proceed:
Once submitted, the request will move to the 'Completed' tab and show in a read-only state:

The materials will be sent to one of our external examiners in the UK for marking.
If the examiner/assessor finds that the wrong material has been uploaded, they can return the 'request' to the centre. You should receive an email from the examiner/assessor or Pearson to explain the required action.

Q: I am getting an ‘access denied’ error message / Why can’t I access the Learner Work Transfer System?
A: All centres should have access to upload their work to Learner Work Transfer (LWT) – the ‘Basic Access’ profile should be ticked on the EOL profile of anyone requiring access to LWT.
If you have just added Basic Access, this will take up to 24 hours to feed through and update to LWT.
Users' EOL accounts must also be unlocked. Following this, if you are still unable to access the system, please contact Customer Support.

Q: Is there a maximum file size that can be uploaded into Learner Work Transfer?
A: Yes, the maximum size for a single file is 8GB. There is no limit to the number of files that can be uploaded. Please note that the larger the file size, the longer it will take to upload into Learner Work Transfer.
Your internet connection determines upload speeds.
Please see the following advice on reducing file sizes to under 8GB:
- Split the file into separate learner work/performances (this is the preferred option); or
- Compress the file to less than 8GB. Use a compression service e.g., WinZip or WinRAR, to compress the file and then upload it.

Q: I have uploaded my work but can’t submit it; why?
A: Please check the following: –
- any absent learners have been marked as ‘absent’ using the status dropdown
- all other learners have at least one file uploaded
- all files in a ‘Rejected’ state have been removed
- any ‘shared’ files have been linked to the relevant learners or removed because they will not be linked to any learners
- no materials have been uploaded to the Administration section when all learners are ‘Absent’ and/or flagged as ‘No Evidence’.
If any of the above is false, please make the necessary remedial corrections. If all the above is true, please contact Customer Support.
Q: Is there a deadline to upload the audio files to Learner Work Transfer?
A: Yes, there are multiple deadlines as test sessions are scheduled several times per year:
- February 2024
- March 2024
- May 2024
- June 2024
- October 2024
- November 2024
- December 2024
The submission deadline to upload audio files for each test session can be found in the support article Pearson English International Certificate (PEIC) Test Sessions & Key Dates.
You must make sure that all the requests are submitted by 17:00 UK time on the deadline date listed in the test timetable. Please ensure that you make allowances for time differences.
