Deleting user accounts

You can now directly create, amend and delete exam staff accounts on Edexcel Online (EOL).

As long as you have the 'Centre Admin' permission ticked on your account, you can create, amend and delete accounts with the following roles:  
•    Exams manager
•    Exams officer
•    Exams assistant
•    Centre coordinator/administrator

With multi-factor authentication now fully implemented on Edexcel Online, we no longer need to conduct secure callbacks; all other roles (e.g., Teacher and Quality Nominee accounts) will continue to be managed by you directly. This includes amendments to these account types, including when they need to be deleted, which should still be controlled by centre staff.

As well as having access to manage exams staff accounts, you'll also get a notification whenever a new user is added or a new person is designated as an exams officer or head of centre. These notifications will also go to your head of centre.
This will ensure only active roles are visible within Edexcel Online and that the correct contacts receive communications from us.

If your centre requires any amendments to the Head of Centre (HoC) within EOL, please complete the Head of Centre and Exams Officer form. You are required to have access to EOL already to complete the form.

Pearson will continue to periodically review accounts, including those which you have confirmed as being required. If any user with the above roles, has not been active on our platforms within 12 months, they will receive an email from us to advise that they have 28 days to log into Edexcel Online and retain their account. If the user does not log in within 28 days from receipt of our email, their account will be deleted from our systems. If a user has been deleted but you need them to be reactivated, please contact us to reinstate their account. The email that users receive will come from eie.admin@edexcel.com with the subject line “Important: Edexcel Online Account Inactivity Notice - Action Required”  Please ensure that this email address has been added as a 'safe sender' by your centres IT.

Dear Colleague,  
It looks like you haven’t logged in to your Edexcel Online account for over a year. As part of our commitment to keeping your data secure, we regularly review inactive accounts and will remove any that aren’t in use. Read our email here if you missed it.

What do I need to do?

If you still need your Edexcel Online account, just log in within 28 days of receiving this email. That will show us your account is still active and shouldn’t be deleted.

If you don’t log in to Edexcel Online within 28 days of receiving this email, we’ll delete your account. Please note that any data stored in the associated Edexcel Online mailbox will be permanently deleted and cannot be recovered

Please note: only delete accounts for staff who have permanently left. A user in the centre cannot restore deleted accounts. 

Logging into EOL accounts using multi-factor authentication (MFA)

For additional security on Edexcel Online, we use Multi-factor authentication (MFA). This is a further measure to protect user, centre and learner data. For detailed information, including downloading the app to your mobile device and using it to complete the sign-in process. Please see Pearson Portal Authenticator for details

With the introduction of MFA to EOL, all centres can only have one user per Edexcel Online account; hence, with additional security measures Pearson has in place, it will supersede JCQ ICE regulation 4.5, which states, "Email accounts used for secure material access must belong to named individuals or be a group email account accessed solely by individuals authorised by the head of centre to handle secure materials."

Delete an EOL profile account

1. Log in to EOL, select 'Centre Accounts' on the left side menu, then select 'List Accounts':

2. The initial accounts displayed will be limited to the following role descriptions:

3. To display all current accounts, tick the box next to 'Select Roles', then click 'Submit':

2. Locate the account you want to delete and click on the red 'X' on the right side:

3. You will receive a message asking you to confirm the deletion; select 'OK' if you are happy. This will delete the account:

Reinstating Deleted User Accounts

If an EOL user has been deleted, Edexcel Online retains a record of the user. Therefore they will not be able to be recreated as a new user if using the same email address as the previous one.

Please create a case and provide the following information:

  • Centre Name/number
  • Deleted username
  • Deleted user account email address
  • Any other relevant info

The centre's Exams Officer must submit the request to ensure the individual is authorised to access EOL.

In all cases, only the account holder should have access to their online account. Under no circumstances should any other person log in to your account, and your login details should never be shared. Failure to comply with these rules could result in a data breach which could constitute a breach of the terms and conditions of Pearson centre approval.
