In order to help with teacher and moderator workload, and to ensure our commitment to working more digitally, we have developed a digital way for centres to send us their NEA/coursework samples/speaking recordings.

The system is called Learner Work Transfer (LWT), and allows Edexcel Online users to securely transfer digital evidence required for assessment to Pearson Associates.  Evidence is transferred via a ‘request’, which is created at paper/unit level.

There are two portals to support the varying assessment methods of our different qualifications. 

Standards Verification

The Standards Verification Learner Work Transfer portal is used for our UK based Level 1-3 BTECs. Standards Verifiers will create a sample request and define which units & learners are required for assessment. Learner Work Transfer allows users to submit the learner work to their Standards Verifier for sampling. 

Examination/Moderation

The Examination/Moderation Learner Work Transfer portal will be used for a host of BTEC, GCSE, International GCSE, GCE, Project, International A-Levels and Pearson English International Certificate (PEIC and Young Learners) qualifications that involve either a speaking component, performance, portfolio, or other non-examined assessment.

Logging In:
Is signing into Edexcel Online the only way I can access Learner Work Transfer (LWT)?

No, please use this URL to access the service. Please note if you are currently experiencing issues with your username/password for Edexcel Online (EOL), this will also be true for Learner Work Transfer.

What browsers can I use to access Learner Work Transfer (LWT)?

LWT is compatible with the following browsers:

  • Chrome version 119 and above
  • Firefox version 121 and above
  • Edge version 119 and above
  • Safari version 17.4 and above
I have been logged out of Learner Work Transfer. I did not log myself out.  

If you are logged into LWT but are inactive for 60 minutes the system will automatically log you out. If you are active in the system but are still being logged out, please contact Customer Support.

I am getting an ‘access denied’ error message / Why can’t I access the Learner Work Transfer System?

All centres should have access to upload their work to LWT – the ‘Basic Access’ profile should be ticked on the EOL profile of anyone requiring access to LWT. If you have just added Basic Access this will take up to 24 hours to feed through and update to LWT. Following this, if you are still unable to access the system, please contact Customer Support
Users' EOL accounts must also be unlocked. 

Learners:
I cannot see the learners I need listed within the manage learner screen....

Please check you have made entries on Edexcel Online for these learners, if the entries have just been made, it will take a few hours for the learner details to show within the request. However, if entries have been made past the deadline of entries being added to a request, the affected learner details will not appear within the request and you should contact Customer Support.

I have entered some learners' late/amended previous entries; however, these updates are not showing in LWT.

For any new entries or amendments, the process of reallocating examiners to mark the learner's work begins again. The new entries/updates will not appear immediately within LWT once late entries or amendments for learners have been submitted. Please allow up to 24 hours for the new/amended entry to show in LWT.

Please note: If you have entered additional learners or amended previous entries, and these changes are made past the deadline for entries being added to a request then the affected learners details will not appear or be updated in the request. 

I need to make a late entry for a learner or have made a late entry for a learner but have already submitted the request for the affected unit. How can I get evidence for this learner to my allocated Assessment Associate?

When you made the late entry, provided the request is within the deadline for late entries to be picked up, the request will revert from a 'Submitted' state to an 'In Progress (C)' state. Details of any additional learners will be displayed within the request, and you will be able to upload the required evidence for the late entry learner(s) and resubmit the request. If the request cannot be updated with the learner's details you will be asked to provide evidence in another way. Please note you cannot amend the submission of learners whose evidence has already been submitted; if you need to amend their submission, you should ask for the request to be returned to you. If it can be returned to you, it will be.

I have withdrawn a learner's entry via EOL, what happens to their details within the corresponding request in LWT?

If a learner's entry is withdrawn on EOL their details, and any uploaded evidence, will be removed from the corresponding request in LWT.  This will occur regardless of the status of the request in LWT.  Please note it may take up to 24 hours for the request to be updated.  If more than 24 hours have passed and the learner's details are still shown within the request, please contact Customer Support.  

I have withdrawn a learner(s) and entered them again with updated entry codes. LWT now shows two requests for the same learner(s).    

If the issue affects all learners, e.g. all were initially entered for option A but should have been entered for option B. The request for option A will still exist; On the original request, please set all learners to 'No evidence' and submit the request as normal.
If any evidence has been uploaded, it should be removed before changing the status to 'No evidence'. Then, in the request associated with the updated entry, please upload the evidence as expected and set the learner status to the appropriate status.

I have selected a request for a moderated unit/component but cannot see any learner details within the view learner screen, what’s happened?

If the required learner sample is not pre-selected by Pearson, you must use the Manage Learner button to select and add the learners to the view learner screen per guidance given by your subject. If you experience any issues, please contact Customer Support.

File Types/Format/Sizes:
Is there a maximum file size that can be uploaded into Learner Work Transfer?

Yes, the maximum size for a single file is 8GB. To facilitate a faster uploading/downloading experience for users of Learner Work Transfer and Learner Work Assessment, ideal file sizes are 1GB or below.  There is no limit to the number of files that can be uploaded.  Please note the larger the size of the file, the longer it will take to upload.  Upload speed is determined by your internet connection, you can check your speed, and you can use this speed to check how long it will take to upload a file

LWT won’t let me upload a file bigger than 8GB. What should I do?

Please see the following advice on reducing your file sizes to under 8GB; LWT will reject any files larger than 8GB because it will take too long to be uploaded:

  1. Split the file into separate learner work/performances (this is the preferred option) or compress the file to less than 8GB. Use a compression service e.g. WinZip or WinRAR, to compress the file and then upload it to LWT. 
  1. Please check the resolution that recordings are in - for example, if you've recorded at anything above HD, please use a converter to reduce this (typically each step up in resolution, e.g. full HD to 4K, is a 4x increase in size).

Do I need to wait for one file to finish uploading and scanning before starting the next?

No, you can upload files to multiple learners at the same time and leave the system to complete scanning. Drag and Drop the required files to each learner, browse for the required files for each learner or use the Shared File functionality.

What do I do if I get logged out while files are uploading?

When you log back into the system if you can still see the affected file(s), then you do not need to do anything. If the affected file(s) is not displayed please rename the file(s) and upload again.

LWT is rejecting materials that are in the same file format as others that have been accepted. I would be grateful to know whether this is a system error.

Hover the cursor over the red triangle on a rejected file to view the error message. If the message indicates that a file is in an unsupported format, is password protected or has a virus, please remove it and take appropriate remedial action. If the message advises that an unexpected error has occurred, please compress the file into a zip file, and then upload the zip file. If the message indicates that your file or zip file is in an unsupported format, is password protected or has a virus, please remove it and take appropriate remedial action.

LWT says I cannot upload a file. What should I do?

If a file with the same name has already been uploaded for the learner, please rename the file you are trying to upload. If the file is in a format not accepted by LWT or the message states that an unexpected error has occurred please compress the file into a zip file, and then upload the zip file. If the message indicates that your file or zip file is in an unsupported format, is password protected or has a virus, please remove it and take appropriate remedial action.

I have uploaded all the required files and they're in an 'Uploaded' state, can I submit my request or do I need to wait for all files to change to 'Accepted' or 'Rejected' states?

Before submitting your request, you do not need to wait for files to change to 'Accepted' or 'Rejected' states.  However, if you submit your request while any files are in an Uploaded state, please check the request the following day to confirm the request has been successfully submitted.  If any files are changed to 'Rejected' during the submission process, the request will not be submitted, and you will need to remove the rejected files and resubmit the request.

Uploading Materials:
How long will it take to upload my files?

The upload speed will be dependent on your internet connection. You can check your internet speed and based on your speed check how long it will take to upload a file

I’ve started uploading a file but when I’ve checked the file is no longer showing, but if I attempt to upload it again it states the file is already there.  What can I do?  

Rename the affected files e.g. add ‘1’ to the end of the file name and reupload.

What is the preferred way to provide Zip/compression files for a learner?  

Please refer to the subject-specific guidance for exact requirements.  However, it is preferable to split learner work into multiple separate Zip/compression folders and upload those rather than one large Zip/compression folder containing all the work.  Smaller zip folders will usually upload faster than one large zip folder.

Users can upload a zipped folder but not drag and drop individual files from within a zipped folder - to upload an individual file from within a zipped folder, they would first need to unzip it on their machine. 

We need to upload folders of learner evidence. Can we do this?

Yes, you must upload the folder into a zip file and upload the zip file. If you upload the folder itself, only the files within the folder will be uploaded and the folder structure will not be maintained. Please ensure each file within the folder has a unique name. Files that share the same name may cause the upload to fail.

How do I upload my centre work to LWT?

I have uploaded my work but I can’t submit, why?  

Please check the following: –

  1. any absent learners have been marked as ‘absent’ using the attendance dropdown
  2. all other learners have at least one file uploaded
  3. all files in a ‘Rejected’ state have been removed
  4. any ‘shared’ files have been linked to the relevant learners, following the guidance here or shared file removed because it will not be linked to any learners
  5. no materials have been uploaded to the Administration section when all learners are ‘Absent’ and/or flagged as ‘No Evidence’.

If any of the above is not true, please make the necessary remedial corrections. If all the above is true please contact Customer Support

LWT says there are no requests when I try to upload candidate work.

Please check the following: 

  1. you have gone into the ‘examination/moderation’ portal and not the ‘standards verification portal’
  2. you have made entries on Edexcel Online
  3. your centre has been allocated to an examiner/moderator – you can check this by contacting Customer Support
My examiner/moderator says they can’t view my work, even though I have uploaded it.

Please ensure that you have pressed the ‘submit’ button once you have uploaded your centre work and your request has been successfully submitted, otherwise your allocated examiner will not be able to view it.

I have submitted my request to my examiner, but I forgot to upload some required evidence for assessment. What can I do?

If the examiner is still able to, they can return the request to your centre, you can upload the evidence and resubmit the request. Otherwise, please contact Customer Support

What are the reasons for a file to be rejected when it is uploaded to a learner, Administration material section or the Shared File functionality?

These are the scenarios and remedial action that must be taken:

The file is rejected becauseRemedial action
It is infected with a virusRemove the file and upload a version that is not infected with a virus
It is password protectedRemove the file and upload a version that is not password protected
It is in a format not accepted by the systemRemove the file and upload it within a zip/compression file

It is a zip/compression file that contains complex folder hierarchy e.g. multiple folders within a folder within a folder etc.If it is not necessary for files to be in a folder e.g. files are on the accepted file list, please upload the files directly into LWT.  If the files are in a zip/compression file because the files cannot be directly uploaded into LWT e.g. files are not on the accepted file list, or for other assessment purposes, please split the zip/compression file into multiple smaller zip/compression files, and upload these.

What about data protection and privacy?

Files must not be password protected – the system is secure, so encryption or password protection is not required.

Submitting Evidence/Requests:
Where can I find my allocated examiner details in LWT?

Examiner details are not shown in LWT. You should continue to use your existing method of identifying your Examiner. If further help is needed, please contact Customer Support.

I can’t see my requests anymore, what’s happened?

If the deadline for viewing and accessing the request for a specific subject has passed the request will no longer be displayed in LWT. However, if you think you should still have access to the affected request(s), please contact Customer Support.

What do the different statuses associated with a request in LWT mean?

Please see below for the definition of the different statuses. Certain statuses will mean the request is shown in a different tab within the LWT portal:

I submitted our request for a subject/unit but have checked today and the request now shows as 'In Progress (C)', what does this mean?

A request will revert from 'Submitted' to 'In Progress (C) when the following scenario has occurred, a late entry was made after you submitted the request, and you are now required to provide evidence for this learner. You must make any necessary amendments and resubmit your request as soon as possible so that any change is updated for your allocated Assessment Associate.

I submitted our request for a subject/unit, but have checked today and the request now shows as 'Not Submitted'; what does this mean?

In exceptional circumstances more than one examiner will be responsible for assessing the evidence provided by your centre. The request will contain the learners each examiner is responsible for assessing. You must upload the required evidence to each request as normal including any required administration material. If you still require support, please contact Customer Support.

Why can I see multiple versions of the same subject/unit request for the current examination series?

In exceptional circumstances more than one examiner will be responsible for assessing the evidence provided by your centre. The request will contain the learners each examiner is responsible for assessing. You must upload the required evidence to each request as normal including any required administration material. If you still require support, please contact Customer Support.  

My request does not show the expected learners within it, what should I do?

 Please check you have entries on Edexcel Online for these learners, if the entries have just been made, it will take up to 3 working days for the learner details to show within the request. However, if entries have been made past the deadline of entries being added to a request, the affected learner details will not appear within the request and you should contact Customer Support

If the request is for a moderated subject please use the ‘Manage Learners’ button to add the required learners. If the required learner cannot be seen in the list of available learners, please see the above comment. 

I need to submit my request, but it still shows learners whose entries have been withdrawn, what should I do?

If a learner's entry is withdrawn on EOL their details, and any uploaded evidence, will be removed from the corresponding request in LWT.  This will occur regardless of the status of the request in LWT.  Please note it may take up to 24 hours for the request to be updated.  If more than 24 hours have passed and the learner's details are still shown within the request, please contact Customer Support

Can I submit pre assessment materials and then upload the rest of the learner’s evidence later?

No, LWT is designed for all evidence required for assessment to be sent at the same time. If you have submitted your request without providing all the necessary evidence, you will need to ask for the request to be returned to you. If it can, it will be.
