Eligibility applies only to learners taking a modular qualification, where they complete the required units and then ‘cash-in’ their individual units for an overall grade.
Units can be taken in the same exam series or banked under the learners' UCI if taken across several series.
A grade can only be issued where a cash-in code has been entered.
To be eligible for an award, a learner must:
Be entered for, or have taken and banked, all the required units within the individual specification.
Be entered with the same UCI number across all exam sessions.
Be entered with the same personal details, including their name and date of birth, across all exam sessions.
As soon as entries have been made, we carry out regular eligibility checks to ensure that all learners will receive exam results correctly. Although we may contact you to discuss instances of ineligible learners, it is ultimately the centre’s responsibility to ensure that entries are correct and that the learner is eligible for the award.
How to check using EOL that candidate entries are eligible
1. To sign in, please go to https://edexcelonline.pearson.com; you will be asked to enter your usual Edexcel Online credentials, and once you click sign in, a verification code will be sent to the Pearson Authenticator app. For further information, including downloading the app to your mobile device and using it to complete the sign-in process. 3. For Modular International GCSEs, select 'GCSE' from the qualifications drop-down menu:
4. For International A Levels, select 'IAL' from the qualifications drop-down menu:
5. Select 'Candidates' and 'Eligibility Check':
6. Select the 'Session' andchange the eligibility status to 'No', then click 'View Online':
A report will appear to show all learners who are ineligible for their award. You will be able to identify the individual learners via their personal details (as entered) shown in the columns on the left and a reason for their ineligibility in the 'Message' column on the right. Click 'Details' on the right of the appropriate learner to view their details and all the entries that have been made for that individual, plus any banked units.
Please note: building these checks into your normal schedule is good practice when you make entries.
There are several reasons why a learner may be ineligible for their award; these can include:
Duplicate UCI
UCIs are used to aggregate units for modular qualifications. Each candidate must have 1 UCI across all of their records to gain an overall result. If you discover that a candidate has multiple UCI numbers, please create a case and attach a completed eligibility change request spreadsheet.
Mismatch of details
The learner may have been entered previously at your centre or another centre with different personal details for one or more of their units. You will need to ensure the details match by contacting the other centre (where appropriate).
Incorrect Entry Codes
If any entries are incorrect or the learner has not sat enough units, they may be ineligible. You will need to ensure that you have checked the required combinations of units combined with the correct cash-in code, as shown in the Information Manual. Please see the video linked below from 4:10 for an example. You should only make an entry for a cash-in code once the learner has entries for all the required units for the qualification.
Not enough units
Entering a cash-in code without the required number of unit entries will cause the learner to be ineligible for the overall award. AS or A Level units cannot be used in combination with IAL units. Only IAL units can be used to contribute to the requirements of the IAL cash-in code.
Transfer of credit
Applicable to GCE A Level and Functional Skills only. If the learner has achieved part of an award with another awarding body, you must request a transfer of credit using the IAL Transfer of Credit form.
If you find any errors with the entries for the current exam series, you can adjust directly using Edexcel Online. To make an adjustment, please follow the steps below:
1. 9. Open the drop-down menu in the 'Add Unit Entry' or 'Add Award Entry' section, and select the required code as shown in the information manual. Repeat this process for each required code that you need to add to the learner’s entries, and then click 'Save':
Please note: any changes submitted will update the eligibility report after 24 hours have passed. Please repeat the process above to view a revised eligibility report after this time.
