When are results files sent to UCAS?

For individual learner UCAS queries, we also require the learners UCAS Personal ID to identify and resolve issues.

The personal ID, also known as a UCAS application number, is a 10-digit number given to each learner upon UCAS application.

The ID number is different to the scheme code; for example:

  • UCAS Learner personal ID: 1234567890

  • UCAS Scheme code: UC03

      General Qualifications  

      Results are sent to UCAS according to an agreed schedule between all Awarding Bodies and UCAS.

      Results for general qualifications taken in the Summer series are sent to UCAS a week before GCE results day. UCAS will add results to matched applicants and send results to their Higher Education Provider (HEP).

      Amendment files are sent daily (Monday to Friday, excluding public holiday days) from August to the beginning of October. This captures any late awards and grade changes.

      We aim to send the amendment files by noon each day. This will capture grade changes from the previous day. UCAS aim to process the amendment files on the same day and results made available to providers the next day.

      Yes, results from the October and November exam series are sent to UCAS in January. Results from the January exam series are sent to UCAS in the first week of March. 

      Amendment files for the October and November exam series are sent in the first week of March. Amendment files for the January exam series are sent in April. 

      Any grade changes made after the file submission to UCAS for the winter session will not be automatically picked up. However, we can send these grade changes to UCAS on request - only the Winter series in the same academic year as the live Summer series.

      Any late grade changes outside the academic year, the candidate will need to provide their evidence directly to their university choices if requested to do so.

      BTEC Qualifications

      Results for learners who are not awaiting a June external assessment result process will be issued to UCAS twice weekly from mid-July.

      Learners whose results contain an external assessment taken during the June series are sent to UCAS a week before BTEC level 3 results day.

      Results are then sent daily during the L3 results week and reduced to weekly from September.

      Amendment files are sent twice weekly (Mondays, excluding public holiday days and Thursdays) from July to the beginning of October.
      We send files daily during the L3 results week.

      Pearson aims to send the amendment files by 12 noon. UCAS aim to process the amendment files on the same day and results made available to providers the next day.

      Please note: Centres and learners should ensure that the learner details provided to UCAS and Pearson are the same (such as learner name and date of birth). If not, this may mean the learner results can not be matched and, therefore, will not be passed on to HEPs (Higher Education Providers), which will cause delays.
