The planning meeting must take place prior to the EPA (End-point Assessment), which is an important part of the EPA process.

It allows the apprentice to meet the IEA (independent end-point assessor) before the actual assessment and ask any questions they might have, express any concerns and allows the IEA to explain what will happen during the assessment. Furthermore, requirements for the assessment will be discussed such as ID, quiet space, what the apprentice can bring into the assessment, confirming the platform to be used (Zoom, Teams et al), and ensuring the apprentice can access the chosen audio-visual platform.

The first point of contact is made via email to the employer and apprentice to book a suitable time to have the planning discussion. The employer is not always involved, and that is acceptable; however, the apprentice must be available to attend the session.

The planning document is uploaded into the apprentice's shared documents area in ACE360 and, if required, can be emailed to the employer and apprentice.

We also confirm the date and time of the booked assessment can still proceed as planned as sometimes availability can change due to unforeseen circumstances at the apprentice's workplace and whether the changes can be met. The IEA will work to meet those changes (where possible), but you must always make sure your training provider is updated with any change made to the existing EPA booking.
